1. Overview

This Pricing & Refund Policy outlines the terms related to subscription fees, billing cycles, add-on services, and refunds for TheBookingApp.co ("Platform"), operated by The Promethean, LLC.

2. Subscription Plans

2.1 Free Trial

New users may be eligible for a free trial period. During the trial, you will have access to Platform features as specified at sign-up. At the end of the trial period, your subscription will automatically convert to a paid plan unless you cancel.

2.2 Paid Plans

We offer various subscription tiers with different features and pricing. Current pricing is displayed on our website and may vary based on:

  • Number of team members or providers
  • Features and integrations included
  • Monthly vs. annual billing cycle
  • Add-on services selected

2.3 Annual Discount

Annual subscriptions are billed once per year at a discounted rate compared to monthly billing. The discount amount is displayed during checkout.

3. Add-On Services

Additional features available for purchase include:

3.1 Payment Processing Add-On

Enables collection of deposits, prepayments, and full payments for appointments. Payment processing fees from Stripe apply separately.

3.2 Gift Cards Add-On

Allows businesses to sell and redeem digital gift cards through the Platform.

3.3 Advanced Marketing Add-On

Includes email campaigns, SMS marketing, automated customer engagement, and advanced analytics.

Add-ons are billed in addition to your base subscription and can be activated or deactivated at any time through your account settings.

4. Billing and Payment

4.1 Billing Cycle

Subscriptions are billed at the beginning of each billing cycle (monthly or annually, depending on your plan). Your billing date is based on when you first subscribed.

4.2 Payment Methods

We accept major credit cards, debit cards, and other payment methods as displayed during checkout. All payments are processed securely through Stripe.

4.3 Automatic Renewal

All subscriptions automatically renew at the end of each billing cycle. You will be charged the then-current price for your subscription plan. We will notify you of any price changes before your renewal date.

4.4 Failed Payments

If a payment fails, we will attempt to charge your payment method again. After multiple failed attempts, your account may be suspended until payment is received. You are responsible for keeping your payment information current.

4.5 Taxes

Prices displayed may not include applicable taxes. Sales tax, VAT, or other taxes will be added to your invoice where required by law based on your location.

5. Plan Changes

5.1 Upgrades

You may upgrade your plan at any time. When upgrading, you will be charged a prorated amount for the remainder of your current billing cycle, and your new plan rate will apply at the next billing cycle.

5.2 Downgrades

You may downgrade your plan at any time. Downgrades take effect at the start of your next billing cycle. No refunds or credits are provided for the current billing period. Some features may become unavailable when downgrading.

6. Cancellation

6.1 How to Cancel

You may cancel your subscription at any time through your account settings or by contacting our support team.

6.2 Effect of Cancellation

Upon cancellation:

  • Your subscription remains active until the end of the current billing period
  • You will not be charged for future billing periods
  • You retain access to the Platform until your subscription expires
  • After expiration, your data will be retained for 30 days before deletion

6.3 Annual Plan Cancellation

If you cancel an annual subscription before the end of the year, you will retain access until the end of your annual billing period. No partial refunds are provided for the remaining months.

7. Refund Policy

7.1 General Policy

Subscription fees are generally non-refundable. This includes monthly subscriptions, annual subscriptions, and add-on services.

7.2 Exceptions

We may provide refunds at our sole discretion in the following circumstances:

  • Technical Issues: If the Platform experiences significant downtime or technical failures that prevent you from using the service for an extended period
  • Billing Errors: If you were charged incorrectly due to a system error
  • Within 48 Hours: If you cancel within 48 hours of your first paid subscription and have not used the Platform substantially

7.3 Requesting a Refund

To request a refund, contact us at billing@thebookingapp.co within 30 days of the charge. Include your account email, the date of the charge, and the reason for your request. We will review and respond within 5-7 business days.

7.4 Refund Method

Approved refunds will be credited to the original payment method used. Processing time may vary depending on your bank or card issuer (typically 5-10 business days).

8. Price Changes

We reserve the right to change our prices at any time. If we increase prices:

  • We will notify you at least 30 days before the change takes effect
  • Existing annual subscribers will not be affected until their next renewal
  • You may cancel your subscription before the price change takes effect

9. Transaction Fees

9.1 Platform Fees

We do not charge transaction fees on appointments booked through the Platform. Your subscription fee covers unlimited bookings.

9.2 Payment Processing Fees

If you use the payment processing features, Stripe's standard processing fees apply (typically 2.9% + $0.30 per transaction). These fees are deducted from payments before they are deposited to your account.
